This Privacy and Cookie Policy explains what personal data we process through the Flowtrecs webshop, why and on what legal basis, with whom we share it and the rights available under the General Data Protection Regulation (GDPR).

1. Controller

2. Data we process

  • Order and account data: name, billing and delivery address, email address, account details, ordered products, order number and order history.
  • Payment data: payment method, status and transaction identifier. Full card or banking details are generally processed directly by the selected payment provider.
  • Contact and service data: messages, complaints, returns, guarantee and support information.
  • Technical data: IP address, device and browser information, security logs and, after consent where required, cookie and usage data.
  • Tax and administrative data: information needed for invoicing, accounting and legal compliance.

We receive data directly from you when you order, create an account or contact us, and automatically through necessary technical functions. Payment and delivery partners may also provide information such as payment status or proof of delivery.

When relying on legitimate interests, we balance those interests against your rights and reasonable expectations. You may object to such processing.

4. Is providing data mandatory?

Data marked as required is needed to process, pay for and deliver an order or meet legal obligations. Without it, we may be unable to enter into or perform the contract. Data for optional analytics or marketing is voluntary and does not affect your purchase.

5. Recipients

We disclose data only where necessary to categories of recipients such as payment providers, banks, carriers, hosting and IT providers, maintenance and security providers, accountants, legal or tax advisers and competent public authorities where required by law. Each receives only the data needed for its task and acts as a processor or independent controller according to its role.

6. Transfers outside the EEA

Some IT, payment or analytics providers may process data outside the European Economic Area. In that case, we use a lawful transfer mechanism such as a European Commission adequacy decision or approved Standard Contractual Clauses and, where needed, additional safeguards. 7. Retention

  • order, invoice and payment records: for the periods required by applicable tax and accounting law;
  • account data: while the account remains active and afterwards where necessary for legal obligations or claims;
  • complaints, returns and guarantee correspondence: for handling and until applicable limitation or guarantee periods expire;
  • security logs: no longer than necessary for security and misuse investigations;
  • consent-based data: until consent is withdrawn or the purpose ends, subject to necessary evidence and limitation periods.

We then delete or anonymise data unless longer retention is required by law.

8. Cookies and analytics

Necessary cookies support the basket, session security, language selection and checkout. Consent is not required where they are strictly necessary. Non-essential cookies and similar technologies, including Google Analytics if enabled, may be activated only after consent where required. Analytics may process visited pages, device, browser and approximate location to help us understand use of the webshop.

You can accept or reject non-essential cookies and later withdraw consent through the webshop's cookie settings. Withdrawal does not affect the lawfulness of earlier processing. You can also delete or block cookies in your browser, although some necessary functions may then not work properly.

9. Your rights

Depending on the circumstances, you may request access, correction, erasure, restriction, data portability for data you supplied and object to processing based on legitimate interests. Where processing is based on consent, you can withdraw it at any time. You may also complain to the Polish supervisory authority, the Urząd Ochrony Danych Osobowych, or the competent authority in the EU country where you live, work or believe an infringement occurred.

Send requests to info@flowtrecs.com. To protect data, we may reasonably ask for additional information to verify identity. We respond within the statutory time limit.

10. No automated decision-making

Through this webshop, we do not make decisions based solely on automated processing that produce legal effects or similarly significantly affect you. If this changes, we will first provide information about the logic, significance and expected consequences.

11. Security and changes

We use appropriate technical and organisational safeguards against loss, unauthorised access, alteration and disclosure. We may update this policy when services or legal obligations change. The current version and update date are published on this page.
